At CinderBanks Photography, we strive to provide exceptional photography services and products. We understand that circumstances may arise that necessitate changes or cancellations to your booking. This Refund Policy outlines our guidelines for deposits, cancellations, refunds, and adjustments to our services and products.
Please read this policy carefully before booking our services. By engaging our services, you agree to the terms outlined in this Refund Policy.
Booking Deposits
Non-Refundable Deposits
To secure your photography session date and time:
- A non-refundable deposit of 25% of the total service fee is required at the time of booking.
- Your session date is not confirmed until this deposit is received and acknowledged by CinderBanks Photography.
- This deposit is applied toward your total service fee.
- Deposits are non-refundable as they secure your date in our calendar, during which time we decline other potential bookings.
Booking Transfer
In certain circumstances, we may allow you to transfer your deposit to a different date:
- Date transfer requests must be made at least 14 days prior to your scheduled session.
- The new session date must be within 6 months of the original date.
- Date transfers are subject to our availability.
- A date transfer fee of £25 may apply.
- Deposits may be transferred only once.
Cancellation Policy
Client Cancellations
If you need to cancel your photography session:
- Cancellation with more than 30 days' notice: Your deposit is non-refundable, but any additional payments made will be refunded in full.
- Cancellation with 14-30 days' notice: Your deposit is non-refundable, and 50% of any additional payments made will be refunded.
- Cancellation with less than 14 days' notice: No refund will be provided for any payments made.
- No-shows: If you fail to attend your scheduled session without prior notice, no refund will be provided, and the full service fee remains due.
Weather-Related Cancellations
For outdoor photography sessions:
- In the event of inclement weather (heavy rain, snow, extreme temperatures) that would adversely affect the quality of your photographs, we will work with you to reschedule your session at no additional fee.
- The decision to reschedule due to weather is at the photographer's discretion.
- Light rain or overcast conditions are not considered inclement weather for the purposes of rescheduling.
- If rescheduling is not possible within 6 months of the original date, a refund may be provided less the non-refundable deposit.
Photographer Cancellations
In the rare event that we need to cancel your session:
- Due to illness, emergency, or unforeseen circumstances: We will attempt to reschedule your session at your earliest convenience. If rescheduling is not possible, a full refund including the deposit will be provided.
- Due to equipment failure: We will attempt to reschedule your session at your earliest convenience. If rescheduling is not possible, a full refund including the deposit will be provided.
- We reserve the right to arrange for a substitute photographer of similar style and experience level in case of emergency.
Wedding Photography Specific Terms
Cancellation Policy for Weddings
Due to the significant preparation and schedule blocking required for wedding photography:
- Cancellation with more than 6 months' notice: Your deposit is non-refundable, but any additional payments made will be refunded in full.
- Cancellation with 3-6 months' notice: Your deposit is non-refundable, and 50% of any additional payments made will be refunded.
- Cancellation with less than 3 months' notice: No refund will be provided for any payments made.
- Date Changes: Wedding date changes are subject to our availability and may be treated as a cancellation and new booking if we are not available on the new date.
Wedding Day Coverage Changes
For adjustments to your wedding photography coverage:
- Requests to reduce coverage hours must be made at least 30 days before the wedding date.
- Reductions in coverage made less than 30 days before the wedding date will not result in a fee adjustment.
- Requests to increase coverage can often be accommodated, even on the wedding day, subject to availability.
Product Orders and Deliverables
Digital Images
For digital image deliverables:
- Once digital images have been delivered to you, they are considered delivered in full and are not eligible for refund.
- If you experience technical issues accessing your gallery or downloading your images, please contact us within 7 days of delivery for assistance.
- We retain backup copies of your images for 12 months after delivery. If you lose your copies within this period, we can provide replacements for a nominal fee of £25.
Physical Products (Albums, Prints, etc.)
For physical photography products:
- Custom Orders: All custom-designed products (including albums and wall art) require your approval before printing. Once approved, these orders are final and non-refundable.
- Defective Products: If you receive a product that is damaged or defective, please notify us within 7 days of receipt. We will replace the item at no additional cost.
- Incorrect Products: If you receive an incorrect product, please notify us within 7 days of receipt. We will replace the item with the correct product at no additional cost.
- Cancellation of Product Orders: Orders for physical products may be cancelled before production begins for a full refund. Once production has begun, cancellations are subject to a 50% fee to cover our costs.
Refund Process
When a refund is approved:
- Refunds will be processed using the same payment method used for the original transaction unless otherwise agreed.
- Refunds typically process within 5-10 business days, depending on your payment provider.
- For debit or credit card payments, refunds may take up to 10 business days to appear on your statement.
- For bank transfers, please provide your account details when requesting a refund.
Dissatisfaction with Services
If you are not satisfied with the quality of our services:
- Please contact us within 14 days of receiving your gallery or products to discuss your concerns.
- We are committed to client satisfaction and will work with you to address any reasonable concerns.
- If we are unable to resolve your concerns, partial refunds may be considered on a case-by-case basis.
- Stylistic preferences (such as posing, composition, or editing style) are not grounds for refunds, as samples of our work are available for review before booking.
Force Majeure
CinderBanks Photography is not liable for failure to perform its obligations if such failure results from events beyond reasonable control, including but not limited to acts of God, natural disasters, terrorism, government restrictions, or illness. In such cases:
- We will make every effort to reschedule your session at no additional fee.
- If rescheduling is not possible within 6 months, we may offer a credit toward future services or a partial refund, less any non-recoverable expenses incurred.
Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is your responsibility to review this policy periodically.
For bookings already confirmed, the Refund Policy in effect at the time of booking will apply.
